How to Add Charts to Reports in Salesforce

While working as a Salesforce admin, I created a report on lead generation so that the lead manager could see the number of leads generated from different lead sources in Salesforce. To track these records easily and quickly identify the numbers, the lead manager asked me to add a chart to the report.

Here, I will explain charts in Salesforce reports and then show you how to add charts to reports in Salesforce with step-by-step explanations.

A report chart is a visual representation of data present within a Salesforce report. It allows users to quickly understand and analyze data by showing it in graphical formats such as bar charts, pie charts, and line charts. Users can use these charts according to their business requirements.

Report charts are fully customizable, allowing users to select the format of the chart. They can be added to dashboards for easy access and real-time updates. Report charts are effective for data analysis and decision-making.

In the below steps, we will add a chart to an existing report; for that, navigate to the Setup page of Salesforce Lightning and follow the below steps.

1. Click on the App Launcher and navigate to the Reports tab. If you are on the Sales app, then click on the Reports tab.

2. From the list of reports, click on the dropdown arrow of the report on which you have to add the chart and select the Edit option.

3. The report will open in the edit mode so that you can add a chart to the report by clicking on the Add Chart button at the top.

4. When we click on the Add Chart button, the chart will be displayed above the report table. By default, it will be displayed in the horizontal bar chat. Here, you can see the lead source on the X-axis and the record count on the Y-axis.

To edit and modify the chart, click on the Chart Properties settings icon.

5. In the Chart Properties, we can change the Chart types. In this example, I have changed it from a Bar Chart to a Donut Chart.

If any chart type is greyed out, that means the chart type is not compatible with the report.

6. In the Chart Attributes of the chart properties, we can add the Chart title and display the Values and Sliced By by selecting the field.

We can also change the Legend Position from Right to Bottom. Legend is a side section of the chart that gives a small text description of each series.

7. At last, click the Save button to apply changes.

Add a Chart button is Greyed Out Error

Users often encounter some common issues and errors while adding charts to reports, which we will discuss further.

  • If the Add Chart button is greyed out in the edit window, that means the report is not compatible with the charts. The charts require the report to have at least one group.
  • Ensure your report is either a Summary or Matrix report, as these types support chart additions.
  • You might not have the required permissions to create charts. The Salesforce administrator gives these permissions from the profile.
