Enable and Create Recurring tasks in Salesforce

While working as a Salesforce system admin, I received a request from the Sales team to enable the recurring tasks. The sales team managed opportunities, with each open opportunity requiring a follow-up call from the sales representative every week until the deal was closed.

Instead of manually creating follow-up tasks, they opted for recurring tasks to automate the weekly creation of new follow-ups.

In this Salesforce tutorial, I will explain how to enable and create recurring tasks in Salesforce Lightning and Salesforce Classic editions.

What are Recurring Tasks in Salesforce?

A recurring task in Salesforce CRM allows you to schedule a task to repeat on a regular schedule, such as daily, weekly, or monthly. This feature can automate repetitive tasks, such as following up with a customer regularly or scheduling regular meetings with a team.

Enable Recurring Tasks in Salesforce Lightning

To enable the recurring task in Salesforce Lightning, navigate to the Setup page and follow the steps below.

  1. On the Salesforce Lightning setup page, go to the quick find box, search, and then select Activity settings.

  1. In the activity settings, activate the Enable Creation of Recurring Tasks checkbox and click on the Submit button.

The creation of recurring tasks is now enabled in the Salesforce org. After allowing it, we need to add the recurring task field to the page layout of the Task object.

To add the enabled recurring task field on the page layout of the task object, navigate to the setup page and follow the steps below.

  1. On the setup page, click on the Object Manager tab. In the next window, search for and select the Task object.

  1. In the task object setup, click on Page Layouts, then click on the task page layout in the next window.

  1. In the page layout setup, drag and drop the field “Creating Recurring series of tasks” to the section “Task Details” and click Save to apply changes.

When we click the Save button, the recurring task series field will be added to the Task object’s page layout.

To Create Recurring tasks in Salesforce Lightning, navigate to the setup page and follow the steps below.

  1. On Salesforce Lightning’s setup page, click on the App Launcher, search for the task, and select the Tasks object. You can also access the Tasks tab directly from the application’s tabs.
    • In the Task tab, click on the dropdown in the left sidebar and select New.

  1. In the New Task window, enter the details for the task, such as Subject, Status, and Priority. After this, activate the checkbox field, Create Recurring Series of Tasks.
    • While creating recurring tasks, we can set the frequency as daily, weekly, monthly, or yearly.
    • After frequency, select the Repetition mode; for example, when the frequency is weekly, the repetition will be every week, every other week, or custom.
    • Then, select the day of the week the task will be repeated.
    • At last, select the Start Date and End Date of the recurring task and click on the Save button.

As we click the Save button, the recurring task will be created and recur according to the scheduled timeline.

This way, we can create a Recurring task in Salesforce Lightning by following the above steps.
