As a Salesforce admin, I needed to create a task and assign it to users so that they would be notified to prioritize this task and resolve any issues customers were facing. I then created new tasks and assigned them to the users accordingly.
In this Salesforce tutorial, we will learn about tasks in Salesforce. I will explain how to create new tasks in Salesforce, providing step-by-step instructions.
What is a Task in Salesforce?
The task in Salesforce is like a reminder or to-do list. It helps us keep track of tasks we need to do, such as following up with a customer, scheduling a meeting, or checking in on an issue.
Each task has a due date and a priority level (high or low) and is linked to a customer or project object record. We can also add notes to a task to keep track of any details you don’t want to forget.
Fields in Salesforce Task Object:
Below, I have explained the fields we have in the task object and their intended purposes.

Task Fields and Their Description
| Fields | Description |
| Assigned To | Tasks can be assigned to users, groups, or queues so that they will complete the work assigned to them. |
| Status | Here, we have different options to track the progress of tasks, such as ‘started’ and ‘in progress’. |
| Subject | Enter the subject of the task so that the user can get information about why this task was created. |
| Name | We have two options for categorizing names: contacts and leads. Here, we need to select the customer for whom we are creating a task. |
| Due Date | Each task has a due date that can be set to send a notification to the assigned user. |
| Related To | Here, we need to select a related object and a record from the selected object. |
| Priority | Tasks can be assigned priority levels (e.g., High, Medium, Low) to help users prioritize the most important actions first. |
| Comments | Users can add notes and other relevant details to the task. |
Create a Task in Salesforce
In the steps below, I have explained how to create tasks in Salesforce so that we can follow up and keep track of tasks we need to do.
- To navigate the task object, open the App to which you have added the task tab and click on it.
- Or click the App Launcher and search for the Task object. Under the items, you will see the object. Click on it to open.

- Now, click the dropdown arrow, as shown in the image, and select the New Task option to create and assign a new task in Salesforce.

- Enter the details to create a task in the list below. I explained some fields so you will understand their use.
- Assigned To: In this field, we can select people, groups, or queues. You can also assign this task to multiple users.
- Subject: There are some predefined subjects, such as Call, Email, Send Letter, Send Quoat, and Other. Using those options, we can add additional descriptions for that subject.
- Name: This is the lookup field linked to the Contacts and Leads objects in Salesforce. From there, we can select the customer related to this task.
- Related To: Here, we can select any standard or custom object and record from the selected object.
After filling out all the details, click the Save button to create the task for the users that we added in the Assigned To field.

- When you click the task tab, you can see that the task has been created. Since I logged in as another user(Alex Kirk) in the Assigned To field, I can see that name. Now, we have also assigned this task to another user.
- For that, we need to log in with that user so that we can check whether the task has been assigned to them as well.

- I have logged in with another user, and you can see that the user has received a notification. As you open that notification, you will see who has assigned this task with the subject that we entered.

- Now, here, I opened the task object from another user, and you can see that since I logged in as Jimmi Anderson in the Assigned To field, we can see the logged-in user’s name.

In this way, we can create the task in Salesforce, assign users to a particular task, and notify them of the due date and the subject for which it is created.
Other Ways to Create Tasks in Salesforce
Below, I have explained common ways to create tasks in Salesforce. Some tasks need to be created manually, and some can be automated using workflows, process builders, or flows.
Create a Task Using Global Action in Salesforce
We can create a global action to create a task from anywhere in the Salesforce user interface without closing the current window or navigating to a task object.
To navigate to the global action in the Quick Find box, search for the Global Action and click on it. Provide the information shown in the image below and save the action.
After that, add this action to the Publisher Layout to see it on the UI. Watch the Quick Action video to learn more.

In this way, we can create tasks using global action in Salesforce.
Create Task From Record Page in Salesforce
To create a task from the record page, you need to navigate to any object. Sometimes, you need to open the Related tab, and sometimes, you will see the New Task option in the Activity tab. As you click the new task, you can create a task.

In this way, we can create tasks from the record page in Salesforce.
Create Task Using Fow in Salesforce
In Salesforce, we can use a flow to automate the task creation process for a specific record. The task created with the help of a record trigger flow will notify the user about the task details, allowing them to work on it.
I have already created an article on how to create a task using flow in Salesforce. Read this article to get an idea about automating a process for creating and assigning tasks in Salesforce.

Conclusion
I hope you have an idea about tasks in Salesforce. In this tutorial, I have explained what a task is in Salesforce, how to create a new task, and how to add multiple users so that we can assign that task to multiple users.
Additionally, I have explained different ways to create tasks in Salesforce and also how to automatically assign tasks to users in Salesforce using Flow.
