  • Since both the parties (buyers and sellers) are involved in a business so if prices are comparatively lesser than competitors then there will be more regular sales.
  • A tire sold to a company will always be at a lesser price but more in quantity than the same tire sold to an individual customer.
  • A good quote will always create a win-win situation for both parties. It will always be greater than the cost price (CP) but in the budget of a buyer.
  • Negotiation can take place where after sending a quote a counter quote is received where prices are lesser than the proposed one.

The below image is the sample quotation sent by a company. Here, the Product name, List Price which is MRP, Sales Price, Quantity, and discount if applicable are mentioned. If the buyer accepts this quotation then a sale is closed with won.

  • A Uniform combination of light colors must be used.

  • It has an expiration date which means the buyer has limited time to take a decision. Also, this helps the business to close the deal and move on to the next one.

Quotes in salesforce can be created through ‘quote object‘. By default, this object is disabled in salesforce and you have to enable it manually.

Step 1: Open the opportunity in which you want to create quotes. Scroll down there under the Related tab you will see Quotes. Click on the dropdown and select New Quote.

Step 2: Fill in the details required to create the quotes. In our case, we are selling batteries to Dickenson Mobile Generators in the USA so we have filled in the following information:

  • Quote Number – Auto-generated as 00000002
  • Expiration Date – buyer can accept the quotation till 30 Sept 2022
  • Opportunity Name – Dickenson Mobile Generators
  • Status – None, Draft, Needs Review, In Review, Approved, Rejected presented. We have selected Approved which means it is ready to be sold.
  • Subtotal – calculated automatically based on the product price and quantity.
  • Tax – fill in the tax information
  • Discount – discount in percentage
  • Shipping and Handling
  • Total Price – price after discount
  • Grand Total – Price after discount and tax
  • Contact Name – Select the contact name for whom the quote is prepared

Step 3: Now it’s time to add the product, from the quote click on the quote number and you will be directed to the quote page. Click on the Add product button.

Step 4: Select the products by clicking the checkboxes and clicking Next.

Step 5: Provide the selling price, quantity, and discount percentage if any, and then click on the save button. The selling price must be greater than or equal to the list price.

Selling products for less than the list price will cause a loss to you. In the below image, the List price is 1200 dollars and the sales price is also the same. But we have provided a 5% and 3% discount as well which means we are selling batteries at loss.

Step 6: On the right top of the screen click on the dropdown next to the New Case button and from there select Start Sync. Click on the continue button on the prompt.

Since we already started the synchronization that is why it is showing Stop Sync in the below image. If you are doing it for the first time then it will show start sync.

Once synchronization is completed, the quoted price will start appearing on the opportunity page for that company.

Step 4: On this page, you can create your template by dragging and dropping the options in the desired sequence. The entire template is divided into three parts: –

  • Header – Information to be displayed at the top of the page like company name or logo
  • Body – All the important & relevant content is displayed here
  • Footer – Information to be displayed at the bottom of the page like contact information or website.

Note: After adding an image or text if you have trouble clicking the Ok button then use the Tab key to switch the focus.

Step 1: from the Opportunity dashboard, click on the opportunity name to whom you want to send the quote in salesforce. In our case, we are going with the opportunity name – USA Eateries – Danny Obin.

Step 2: In the Related on the right side, at the bottom, you will see the Quote section, click on the dropdown and select New Quote from there.

Step 3: From the prompted window, the mandatory column, for now, is Quote Name. Rest is optional to fill as if now.

  • Quote Name – Quote for USA Eateries
  • Expiration Date – This quote is valid till 31 December 2022
  • Status – The status is already approved.

There is other information as well but those will be either auto-filled in the process. You can type the information if it is your business’s demand. This information is related to:

  • totals – Where all the information of Tax, discounts, totals, and grand total will be displayed.
  • Prepared For – The customer of buyer’s information-related fields
  • Address Information – Billing information-related fields
  • System Information – autogenerated by the system.

Step 7: Final step is to synchronize the changes. Click on the dropdown at the top right next to the New Case button. From there select Start Sync, and click on the continue prompt.

In Salesforce, the sales app aims at increasing the sale of the company. The process starts with aware the buyers about the products/services and ends with selling them. So it is a process and a quote is part of it.

A campaign is created to aware the buyers then a lead is generated. Accounts and Opportunities are created for the interested buyers, and prospecting and other things are done. Then we share the quote with them and on approval, the sales are closed as a win.

Creating a quote without opportunity is like breaking the process in salesforce but on the other hand, salesforce is being used in multiple ways by companies. So we cannot say that it would be wrong to create a quote without opportunity in salesforce.

An answer on a Salesforce StackExchange shows that we can create quotes without opportunities using third-party applications. The answer mentioned that name of the app – Simple Quote/Invoice/Order available as an unmanaged package by salesforce.

We tried but it didn’t work the way we wanted it to so we cannot create a tutorial on this now if you are learning salesforce then give it a try. Do not use it on this production.

After sending a quote to a potential buyer, the buyer either approves the quote or tries to negotiate. After both the parties (seller and buyer) agree on a certain amount then the buyer places an order.

In other words, when a potential buyer agrees to do business with the seller and there is some transaction (goods, services, financial) taking place that is called an order.

Wondering why orders are not showing in opportunity? In salesforce, make sure the order object is visible under opportunities. If you are unable to see it then follow these steps: –
