I am working in a sales team of a leading electrical appliances manufacturer company that uses Salesforce CRM to track customer records. Recently the company Michigan electronics ltd. decided to come in partnership with retailers and distributors to expand their business. In this situation, for better collaboration between the internal team and external users, we decided to create a chatter-free user license for external users.
Creating a Chatter-free user license became important for the following reasons:
- To Collaborate with external users: With the help of Chatter Free licenses external users can easily collaborate with the sales team by sharing records and events and directly collaborating for the deals that would help the internal sales team to work more efficiently.
- Better Communication: By creating a user with Chatter free license we created a platform for communication between the internal teams and external partners. With Chatter’s free license, external users can comment on records, participate in conversations and receive updates for better communication.
In the below steps, I will show you how I handled this situation and came out of it. Now I will explain the method of creating a new user with a Chatter-free license, with the help of examples in Salesforce Lightning and Salesforce Classic.
Chatter free license in Salesforce
In Salesforce Users who need access to Chatter but do not have Salesforce licenses can use the Chatter Free license.
These users can access common Chatter items like persons, profiles, groups, and files, but they will be unable to access any Salesforce objects or data due to security concerns. For instance, users of Chatter Free will not be permitted to attend events planned by Salesforce.
Create a Free Customer Chatter User in Salesforce Lightning
To Create a Free Customer Chatter User in Salesforce Lightning, first log in to your Salesforce developer account and follow the steps below.
Step-1: On the Setup page of Salesforce Lightning go to the quick find box and there search for Users. then from the dropdown select the option Users as shown in the picture below.

Step-2: In all users click on the New User button to create a new user.

Step-3: In this step, we will enter the details of the required field to set up a free customer chatter user in Salesforce Lightning.
- Enter the First Name and Last Name of the new user. In this case, I have named the user Mathew Broad in the fields of first name and last name.
- Enter the user’s email address in the Email and Username field. I have entered the user’s email as mathew@mail.com and then it will auto-generate the Username as same as email. As we enter our email and username it will auto-fill the Nickname field.
- In the User License field select the option Chatter Free.
- In the Profile field click on the dropdown and from the options select the option Chatter Free User.
- Click on the Save button.

As we click on the Save button the user will be created with the Chatter Free license.

In this way, we have successfully created a Free Customer Chatter User in Salesforce Lightning.

Create Free Customer Chatter User in Salesforce Classic
To create Free Customer Chatter User in Salesforce Classic, login to your Salesforce account and follow the steps below.
Step-1: On the home page of Salesforce Classic click on the Setup tab.

Step-2: On the Setup page of Salesforce Classic, go to the Quick Find box and search for users, and in the options from the search results select Users under the heading Manage Users.

Step-3: As we click on the Users, on the next page we can see a list of users and from here we can create, view and manage users. Now to create a free Chatter User click on the New User button.

Step-4: In this step, we will enter the required details to create a new user with Chatter free License.
- Write the First Name and Last Name of the new user. In this case, I have entered the name of external user David Williams in the first name and last name fields.
- Enter a short name format for the Alias field, like I have entered dwilliams for David Williams.
- In the Email field and Username field, write the email of the user. Here, I have entered the email david@11mail.com and as we enter the user email and username, it will auto-generate the Nickname field.
- In the User License field select the option Chatter Free.
- In the Profile field, click on the dropdown button and select the option Chatter Free User.
- Last, click on the Save button.

As we click on the Save button, the new user will be created with the Chatter Free user license in Salesforce Classic.
