While working as a Salesforce system admin, the support team asked me to create a report on notes logged by them in the previous quarter. The support team frequently logs notes in Salesforce to document interactions with clients, feedback, and follow-up actions.
For this requirement, I had to create a report that provides insights into the notes recorded by the customer support team. Now, we will discuss how to create a report on Notes in Salesforce.
Notes Report in Salesforce
In Salesforce, we have a feature of notes that allows us to create and manage text-based remarks on records or objects within the Salesforce interface. These notes can be used to keep track of conversations, important details, or any other information related to a specific record.
The report on notes is created from the data stored in the File and Content Report categories of reports. By creating a report on notes, we can easily access the information or status of the records with the help of Notes attached to those records.
Create a Report on Notes in Salesforce Lightning
To create a Report on Notes in Salesforce Lightning, log in to your Salesforce developer account and follow the below steps.
1. On the Salesforce Lightning Setup page, click on the App Launcher and search, then select Reports. You can also navigate to the reports tab from the Sales or Service application.
2. In the Reports tab, click on the button New Report to create a new custom report.

3. In this step, we must select the Report type for this custom report on notes. Now go to the Category section on the left side and select the category File and Content Reports.
In the Report Type Name, select the option File and Content Report and click on the Start Report button, which is on the right under the heading Details.

4. Now, we need to adjust the report filters to generate records on the report table. To do that, click on the Filters tab in the left sidebar. In the Show Me filter, I have set the filter to All Files to include all files with notes.
I have also set the range to All Time in the Published Date field to include the files created overall.

5. We must add a custom filter to sort notes from other files. To add a filter, go to Add Filter and add a field File type. In the Operator of the filter File type, select the option equals.
In the next field, Use relative value, enter the value as SNOTE, and click the Apply button.

6. After applying filters, click the Outline tab and go to the Columns section. In the search bar, Add columns, search, and select the fields File type, File Name, and File ID.
You can also add more columns in the report according to your requirements.

7. We can see the added columns on the report table with applied filters. Now click on the button Save & Run Report to save this report.

8. In this window, we will enter the following required details to save this custom notes report.
- In the Report Name field, enter the relevant name for the notes report. In this example, I have entered the report name as a Leads Notes Report.
- As we click on the field Report Unique Name, it will auto-fill according to the entered Report Name.
- In the Folder, select the folder in which you have to save this report. In this example, I have selected the folder Public Reports to make this report public.
- After making the above changes, click on the Save button.

When we click on the Save button, the report is saved in the selected folder and runs in the next window, where we can view all records of the notes report.

With the above steps, we have successfully created and run a custom notes report in Salesforce Lightning.
