How to Create Quick Actions in Salesforce

As a sales manager in an organization that uses Salesforce, I had to work rapidly on closing and opening deals with my team. There, we constantly switch tabs to log calls, create new opportunities, and send follow-up emails. In that situation, Salesforce Quick Actions are very helpful for performing all these activities without switching multiple tabs.

Here, I will explain the use cases of Salesforce Quick Actions and the types of quick actions in Salesforce.

What are Quick Actions in Salesforce?

In Salesforce, quick actions are predefined actions that users can perform on records to manage their workflow and complete daily tasks without leaving the current page. These actions are deployed on the Salesforce user interface to increase user productivity.

With quick actions, users can efficiently update, create, or interact with records directly from the record detail page without switching between multiple tabs in Salesforce.

Types of Quick Actions in Salesforce

In Salesforce, there are two types of Quick actions that we generally use to perform actions like creating or updating a record, logging a call, sending emails, and custom actions.

  • Object-Specific Quick Action
  • Global Quick Action

Object-Specific Quick Action in Salesforce

In Salesforce, object-specific quick actions have automatic relationships with other records. Users can quickly create or update records, log calls, send emails, and more in the context of a particular object. For example, you add an object-specific action on the Account object that creates contacts. If a user creates a contact with that action on the detail page for the account, that new contact will be associated with that account.

Global Quick Action in Salesforce

The Global Quick Actions can be added to any page that supports actions. The actions we get in global actions are similar to those available for object-specific actions, where users log call details, create or update records, or send emails without leaving the current page. 

The new record we create using global action has no direct relationship with other records. For example, if you create a new contact using global action, that contact will not automatically be linked to an account or an opportunity unless you define that relationship during or after creating the record with global action.

Create a Quick Action in Salesforce

To create a quick action in Salesforce Lightning, navigate to the setup page of Lightning and follow the below steps.

Here, we create a quick action in Salesforce for the Case object. Since it will be created on the Case object, it will be an object-specific quick action.

1. On the Salesforce Lightning setup page, click the Object Manager tab. Select the object for which you want to create a quick action.

2. Click on the Buttons, links, and action options under the details in the left sidebar of the account page. Then, in the next window, click on the New Action button.

3. Enter the details in the below fields.

  • In the Action Type, select the data operation this quick action will perform.
  • Select the Target Object where the quick action will reflect the changes, like creating and updating the record.
  • Select the record type and Master if you do not select any custom record type.
  • Select the Standard Label type as None to enter the custom label. Then, enter the Label and Name for the quick action.
  • Enter the Success Message and click on the Save button.

A quick action will be created when we click the Save button in Salesforce Lightning. Now, we need to add the quick action to the page layout.

How to Add Quick Action to Page Layout in Salesforce Lightning

To add Quick Action to the page layout in Salesforce Lightning, navigate to the setup page and follow the steps below.

1. On the setup page, click on the Object Manager tab. In the next window, select the object for which you have created the quick action. In this example, it is Case.

2. In the object’s setup, click on the List View Button. In the next window, click on the dropdown and select Edit.

3. In the list view setup, select the created action from the Available action and move it to the column Selected action with the help of arrows.

After this, click on the Save button to apply the changes.

4. Navigate to the object tab for which you created the quick action. You will see the quick action we created in the above steps.
