How to Create Different Page Layouts and Apply to Users in Salesforce

In Salesforce, page layouts determine which field we want to display on the user record page or which field we want to make visible, read-only, or required. These things we can control from page layouts.

In this Salesforce tutorial, we are going to learn about UI customization of page layout and apply to users in Salesforce, what page layout is, why we need to create different page layouts, and what are the uses of it.

Additionally, we will see how to create different page layouts in Salesforce Lightning and Salesforce Classic.

What is page layout in Salesforce?

In the Salesforce page layout, we can customize the user record page and records details page, and we can also control which field we want to show to the user and customize the visibility of fields, buttons, and links. We can make fields required or read-only from page layouts.

Why do we need to create different page layouts?

When we create Objects and fields, at that time, the default page layout is automatically created, and using the default page layout, we can manage all user interfaces. Using the following scenario, we will try to understand the need for different page layouts.

Suppose two users are working on the same object, and there are some fields that one user doesn’t need those fields and vice-versa. However, due to the default page layout, they are facing this problem. To solve this problem we make different page layouts with both user’s requirements.

What are the uses of different page layouts?

Following are the uses of page layouts –

  • Using the page layout, we can customize the user interface as per their requirements.
  • We can control whether the field wants to be required or not. If we want the user do not need some fields, then we can hide them, and we can make them read-only also.
  • We can design the Related list page and Record details page as per user requirements.

How to Create Different Page Layouts in Salesforce Lightning

Example:

Let’s take an example of an Account object. You may already have seen the Account’s Details Page, where we can create and see record details. There is one user, and his requirements are that he only wants an Account Name, Parent Account(lookup dialogue), Rating, Phone, and Industry fields separately to create records.

Using the above example and the following steps, we will see how to create a page layout and apply it to the user in Salesforce.

1. First, log in to Salesforce.org. Then click on the Gare icon, which is right side at the top of the corner. Then, you will see the Object Manager tab; click on it.

Search for the object on which you want to create Page Layout. Here, I have selected Account Object.

2. Then you can see on the left sidebar the Page Layout option is there, click on it and you will see all already created page layouts displayed. We want to create a new page layout for that click on the New button.

3. In the Create new page layout option, you will see the following Fields

  • Existing Page Layout: In this field, you can select based on which page layout you want to create a new page layout. Here, I have selected Account Layout, which is default.
  • Page Layout Name: Here, you can give any name as per your requirement.
  • Then click on the Save button.

4. Now, you will see the window where we customize the page layout. Here, which field do you want to remove or customize? Just hover the mouse pointer, and you will see the Remove option and Setting option.

As we discussed in the above example, we will remove all fields only except Account Name, Parent Account(lookup dialogue), Rating, Phone, and Industry fields. Then click on the Save button.

5. You will see the new Page Layout has been created on the Account Object. Now, we need to apply this page layout to the user.

6. To apply the created page layout to the user, we need to click on the Page Layout Assignment. Using page layout assignment, we can apply page layout to the currently logged-in user.

7. Click on the Edit Assignment button to apply the page layout to the User.

8. In the Page Layout To Use field, select the created page layout. Here, I have selected the User Requirement layout. Then click on the Save button.

9. Then again, go to the setup, and in App Launcher, search for the Account object and click on it. As you click on the New button to create new records, you will see only those fields that we selected in Page Layout.

How to Create Different Page Layouts in Salesforce Classic

Example :

There is a user and his task is to quickly fill Lead Object records and insert records only those fields that fields are required, then he creates a separate page layout and creates the records.

Using the above example and the following steps, we will see how to create a page layout and apply it to the user in Salesforce.

1. If you are in Salesforce Lightning then to switch to Salesforce Classic click on the View Profile which is top of the right side, you will get the option that Switch to Salesforce Classic.

Then click on the Setup option, and then you will see the Quick Find Box in that search for the Leads object. Then under the Customize option, you will see the Page Layouts option, click on it.

2. As you click on the Page Layouts you will see some page layouts are already created. We want to create a new layout for that click on the New button.

3. Here, you need to fill in some details:

  • Existing Page Layout: In this field, you can select based on which page layout you want to create a new page layout. Here I have selected Lead Layout which is default.
  • Page Layout Name: Here, you can give any name as per your requirement.
  • Then click on the Save button.

4. Now, you will see the window where we customize the page layout. Here, which field do you want to remove or customize? Just hover the mouse pointer, and you will see the Remove option and Setting option.

5. You will see the new Page Layout has been created on the Lead Object. Now, we need to apply this page layout to the user.

To apply the created page layout to the user, we need to click on the Page Layout Assignment. Using page layout assignment, we can apply page layout to the currently logged-in user.

6. In the Page Layout To Use field, select the created page layout. Here, I have selected the My Layout. Then click on the Save button.

7. To see the changes on the Lead object, Click on the Setup option on the Navigation Bar. You will see the Leads object; click on it.

8. As you can see on the Record Details page, only a few fields are there as per user requirements.
