In this Salesforce tutorial, we will learn to Group a Report by Month in Salesforce. We will create a custom report in Salesforce Lightning and Salesforce Classic, respectively, and there, we will group the data of the reports in the monthly format.

In Salesforce, we have a feature to group the date field that is generally used in organizing the report data in the monthly format. Grouping a report by month involves organizing the data in a report based on the month component of a date field.

By grouping a report by month, we can easily analyze trends, track monthly performance, and make informed decisions based on the report data.

In this example, I will explain to the group a report by month in Salesforce Lightning. We will create a custom report for the Leads and group the data of the report in the monthly format there.

To create a custom record for Leads, follow the below steps.

1. On the Home Page of Salesforce Lightning, click on the Reports tab. You can also click on the App Launcher and there search then select Report to navigate to the Reports page.

2. In the Reports window, click on the button New Report.

3. In this step, select the Category as Leads, then select Report type as Leads. After this, click on the Start Report button.

4. Now apply filters to generate records in the report table, and for that, go to the filters tab in the left sidebar and apply the following filters.

  • In the Show Me field, select All Leads.
  • In the Date field, select the option Last Modified, then select the Range field as All Time.

You can also select the above fields and filters according to your requirements.

5. After applying the filters, click on the Outline tab on the left sidebar, then in the field Group Rows, search and select the date field Last Modified.

Now, the report data will be grouped in the row Last Modified.

6. Click on the dropdown of the group row Last Modified, and in the options, select Group Date by -> Calendar Month.

7. On applying the above filter, the data will arranged in the month format as shown in the below picture. Now click on the Save & Run button.

8. In this window, enter the below fields to save this report.

  • Enter the name of the report in the field Report Name. In this example, I have named the report as Lead Modified in Months.
  • The field Report Unique Name will be auto-filled according to the entered Report Name.
  • Select the folder to save this report. In this example, I have selected the folder Unfiled Public Reports.
  • At last, click on the Save button.

9. Now, the report will be saved in the folder that you have selected, and it will run in the next window where we can view all the records of the report.

In this way, we successfully grouped a report by month in Salesforce Lighting, where we sorted the report data based on the month.

Group a Report By Month In Salesforce Classic

In this example, we will group a salesforce report by month in Classic edition, where we will create a custom report for the Accounts object, and by grouping this report by month, we will arrange the data of this report in the Month format.

For example, we have a date field Created date in the Accounts object, and when we group this date field and sort the data in the Month format, then this report will be grouped by month.

Now, we will create a custom report in Salesforce Classic, and for that, follow the below steps.

1. On the Home page of Salesforce Classic, click on the Reports tab.

2. In the Reports & Dashboards window, click on the button New Report.

3. In this step, click on the Accounts and Contacts folder, then select Accounts as a Report type. After this, click on the Create button.

4. In this step, we need to apply the following filters to generate records in the report table.

  • In the Show field, select the option All Accounts.
  • In the Date field, select the option Created date.
  • In the Range fields, select the duration range to display records, and in this example, I have selected the range as All Time.

You can customize the above filters and fields according to your requirements.

5. After applying the filters, we need to change the tabular format to add a group row, and for that, click on the dropdown Tabular format, then select the option Summary.

6. In this step, go to the left sidebar, and from there, drag and drop the date field Created Date to the region. Drop a field here to create a grouping.

7. After adding the date field Created Date as a group row, we will group the dates by calendar month, and for that, click on the dropdown of the group row Created Date. Then, from the option, select Group Dates by -> Calendar Month.

8. On applying the above filter, the date field Created date will be grouped by month. Now click on the Save button to save this report.

9. In this step, enter the below fields to save this report.

  • Enter a relevant name for the report in the Report Name field. In this example, I have named the report as Monthly Created Accounts.
  • The Report Unique Name will be auto-filled according to the entered Report Name.
  • Select a folder in the field Report Folder to save this report. In this example, I have selected the folder Unfiled Public Reports.
  • At last, click on the Save and Run Report button.

As we click on the Save and Run Report button, the report will be saved in the folder that you have selected, and it will run in the next window where we can view all records grouped by month in the report table, as shown in the picture below.

Now we have successfully created an account report in Salesforce lightning and there we have grouped the report’s data in the Month format.
