Now, the manager wants to share this data with the marketing head, but the marketing head does not have access to Salesforce.

Export Leads From Salesforce
In the steps below, I will outline the various methods for exporting leads from Salesforce into Excel or CSV files.
- Data Export.
- Reports.
- Data Loader.
Export Leads Using Data Export in Salesforce
Now, let’s understand how we can export leads using the Data Export feature in Salesforce and download them into Excel/CSV format for use in an external system.
- Click on the Setup. -> Home Page. -> In the Quick Find Box, Search for Data Export. You will see Data Export, click on it.
- Upon opening, we offer two options for data export.
- Export Now.
- Schedule Export.

1. Export Now in Salesforce Data Export
Let’s first understand how the ‘Export Now’ option in Data Export works in Salesforce and when it can be used.
If you want to export the data immediately, you can use the Export Now option. When you click on it, you can select the object from which you want to export records.
Here, since we want to export data from Leads, select the Leads object and then click the Start Export button to proceed.

Next, it will take a little time to process. After refreshing the page, you will see the Download action along with the file name for the Leads records that were exported.
To download the data, click the “Download” action. The exported Leads file will be saved in ZIP format, which you can extract to get the CSV/Excel file.

After completing the download, when you open the CSV file, you will see all the exported Leads records with their details, ready for analysis or sharing.

2. Schedule Export in Salesforce Data Export
Now, let’s understand how the Schedule Data Export option in Salesforce works to export data at regular intervals automatically.
If you want to export a report at a specific time interval, you can use the Schedule Export feature in Salesforce.

Now, we need to set the frequency for the export. Here, you can choose how often you want the report to be exported, such as daily, weekly, or monthly.

After setting the frequency, select the start date and preferred time for exporting the report. Next, choose the file format (Excel or CSV) for the exported data. Finally, click Save to schedule the report export.
Salesforce will now automatically export the report at the selected intervals, and you can download the file whenever it’s ready.

Export Leads Using Reports in Salesforce
Now, let’s understand how to export lead records by creating a report in Salesforce and then exporting it into Excel/CSV format.
Click on App Launcher -> Search “Reports” -> Click on Reports. Then click the New Report button to create a report.

Then, under the Category, click the All option. Then, select or search for the Object that you want to create a report for, or search for that object.
Here, I have selected the Lead object. Then click on the Start Report button.

To execute the report, you need to run it in Salesforce. Below are the steps to run the report in Salesforce. Click on Run to run the report in Salesforce.

Then, click the dropdown arrow next to the Edit button on the report and select the Export option.

When we click on Export, a new window will appear with two options: Formatted Report and Details Only, allowing us to export the report.
If we select the Formatted Report option, the report will be exported with the header, grouping, and filter settings.
This option will export the report in Excel (.xlsx) format only. In the last step, click on the Export button to get a lead’s details in an Excel file.

You can view the exported Lead records in the Excel/CSV file, which includes all the fields you specified in the report.

In this way, we can export leads from Salesforce to the external system.
