In Salesforce, reports play a very important role in analyzing business data and making better decisions. One of the most useful reports for sales teams is the pipeline report.
It helps organizations understand how their sales opportunities are progressing and how much revenue they can expect in the future.
A pipeline report gives a clear view of all opportunities at different stages of the sales process. It helps sales managers track deals, identify bottlenecks, and improve overall performance.
While working as a Salesforce admin, I was required to create a report to track the progress of all opportunities to ensure the sales team hit the monthly revenue target.
To meet this requirement, I created an opportunity pipeline report that identifies each deal’s stage in the sales process and estimates potential revenue.
In this article, we will understand what a pipeline report is, why it is important, and how to create it step by step in Salesforce.
We will also explore real-time use cases, best practices, and common mistakes to help you use pipeline reports effectively in your organization.
What is a Pipeline Report in Salesforce?
A pipeline report in Salesforce shows all sales opportunities by stage in the sales process. It provides a comprehensive overview of deals from the initial stage to the final close.
A sales pipeline is basically a visual representation of where each deal is in the sales journey. It helps businesses track progress and identify the next steps required to close deals.
For example:
- Some opportunities are in the “Prospecting” stage
- Some are in “Negotiation”
- Some are “Closed Won”
A pipeline report organizes this data and shows:
- Number of deals
- Total revenue
- Stage-wise distribution
Pipeline reports in Salesforce let us view our sales opportunities as they progress through the various stages.
These reports help sales teams track potential revenue, evaluate deal progress, and find areas where sales may be stopped.
They often provide opportunities grouped by opportunity stage, close date, or amount, helping us estimate sales and make correct decisions to move deals forward.
Why Pipeline Reports are Important in Salesforce?
Pipeline reports are extremely important for sales teams and management. They help in multiple ways:
- Revenue Forecasting
- Pipeline reports help estimate future revenue based on current opportunities.
- Tracking Sales Progress
- They allow teams to monitor how deals move through stages.
- Identifying Bottlenecks
- If deals are stuck at a single stage, managers can take action.
- Better Decision Making
- Organizations can make data-driven decisions based on pipeline insights.
- Performance Measurement
- Managers can easily evaluate the sales team’s performance.
Pipeline reports also help align sales goals and track opportunities effectively.
Stages in a Salesforce Sales Pipeline
A typical sales pipeline consists of multiple stages. These stages represent the journey of a deal from start to end.
Common stages include:
- Prospecting
- Lead Qualification
- Meeting / Demo
- Proposal
- Negotiation
- Closed Won
- Closed Lost
Each stage helps identify what action is needed to move the deal forward.
Create Pipeline Reports in Salesforce
I will explain how to create an opportunity pipeline report in Salesforce in the following steps.
1. Go to “App Launcher” -> Search “Reports” -> Click on Reports. Then, click on the “New Report” button.

2. Now, you need to select the Object to create the report. In the Category option, click All and search for the Opportunities object. Then click on the Start Report button.

3. After that, you can select the close date filter according to your required range and then add the necessary columns in the report, like stage, close date, and amount.
Then, we need to group this report by stage to see opportunities at each stage of the pipeline.

4. Now, we need to calculate the sum of the amounts per opportunity stage so that we can analyze the revenue according to its stage.
For that, click the dropdown arrow in the column you want to summarize, then select the Sum option so the subtotal shows the sum of the particular stage’s amount.

5. Now, if you want to display only opportunity stages and the sum of the amount of those stages, you need to disable the Detail Rows option.

6. You can also add a chart to track these records easily and quickly identify the numbers or the sum of amounts. It’s not necessary to add a chart every time; it is optional.

After creating a pipeline report, here you can see we can clearly analyze the expected revenue as per the opportunity stages. In this way, we can create an opportunity pipeline report in Salesforce.
Create Pipeline Report For Converted Leads in Salesforce
For example, we want to track all closed, converted lead records by lead source. To create this pipeline report, follow the steps below.
1. Go to “App Launcher” -> Search “Reports” -> Click on Reports. Then click on the New Report button.
2. Go to All category -> to select a report type; search “Leads,“ you can search on which object you want to create a report. -> Select Leads.

3. Now, we want to display only closed-converted lead statuses. To do that, we apply a filter to the lead status and then group the report by lead source.

4. Here, you can see the record count of closed leads converted according to their lead sources.

Here, you can see the record count of closed lead statuses converted by lead source in the Salesforce lead pipeline report.
