What is the Send List Email Salesforce
In Salesforce, Send List Email is a feature that sends one email to each recipient you selected in the list. You can only send mass emails to contact and lead recipients.
One of the benefits of the list email feature in Salesforce is that this feature sends an email as an individual email to each lead or contact, which you can’t do in the BCC feature of the email.
Moreover, you can send mass emails in both Salesforce Lightning and Salesforce Classic. You need permission of sending list emails to send and view list emails in Salesforce.
List Email Object Salesforce
After sending the bulk email in Salesforce, you can check it. Salesforce has a List Emails object that shows you the list of all the emails that you have sent or scheduled as mass emails.
Sometimes, you may have wrongly written the email content, and you want to delete it, so you can also do that from the list email object in Salesforce.
To navigate to the List Emails object, move to Setup in Salesforce Lightning, click on the App Launcher, search for List Emails, and click on it.
Send List Email Salesforce Limit
You can send mass emails in Salesforce, but there are some restrictions on sending a list email.
You can add up to 32000 characters in the body of the content and 3000 characters in the subject of the email. However, the email message can have only 35 MB of data, including the header, subject, body, and attachment.
Moreover, you can only send bulk emails to up to 200 contacts or leads at a time, and 10 list views can only be included as a recipient’s field.
But if you are using the Developer Edition or Trial version of Salesforce, you can send emails to a maximum of 50 recipients per day, whereas in other editions, you can send emails to 5000 recipients per day. In addition to this, you can not send more than 10 external email recipients per day in the developer and trial versions.
Note one thing: this limit is only applicable if your salesforce org was created before Winter 12 and the higher limit of mass email is disabled.
List Email Limitations Salesforce
Till now, I have talked about the limit on sending list emails, but there are also some more disadvantages of Salesforce List Email. Let’s discuss each of them.
- You can not send the email to the recipient if the email address acts as a bad address, the email address of the recipient is missing, or the recipient selected Email Opt Out.
- The biggest limitation is that you can add only the contact list view, lead list view, and campaign list view as the list email recipient.
- Even you can not add the merge fields of the campaign in the list email.
- Last but not least, in the Salesforce app, you can not create a list email; you can see this on the activity history related list.
How to Send List Email in Salesforce
Below are the steps to send list email in Salesforce:
Step-1: Navigate to the Setup, click on the App Launcher, search for the Object to which recipients you want to send the list email, and click on it.
Or click on the Tab of the object directly from the Nav Bar. For example, I select Contacts as I want to send emails to contacts.

Step-2: Select the required List View using the top-left drop-down arrow. Here, I select All Contacts.

Step-3: Check the Checkbox next to the name of the contact to whom you want to send an email.
After that, click on the Send List Email button to send emails. If it is not visible, click the Drop-Down arrow at the top right corner, you will get it, but still, if it is not visible later, I will let you know how to add the send list email button.

Step-4: Now compose the email. Enter the Subject and Body of the email. Moreover, you can also add the merge fields; for this, click on the Insert Merge Fields button at the bottom left.
You can also add attachments if you want; click the Attach File icon at the bottom left, choose the required file or document from the relevant folder, and click the Add button.
Last, to send an email, click on the Send button.

Note: If your organization has reached its list email limit, you cannot send it. Try again on another day.
How to Send an Email at a Specific Time
If you are sending an email from quick action you can not schedule an email in Salesforce. To send an email at a specific time, you need to send an email from the Send List Email button. Below are the steps on how to schedule an email.
Step-1: To schedule the email, click on the dropdown arrow next to the Send button and click on the Send Later option.

Step-2: In the scheduling pop-up window, select the specific Date, Time, and Time Zone at which you to schedule your email.
After that, click on the Save button.

Step 10: After reviewing the message click on the Send Later button to schedule the email to be sent at the specifically selected time.

In this way, you can send list emails and schedule email at specific time using the Salesforce Lightning interface.
Send List Email Button Missing in Salesforce
If the Send List Email button is not visible in Salesforce Lightning, follow the below-given steps to add the Send List Email Button.
Step-1: Navigate to the Salesforce Setup page. In the Quick Find search box, search for Enhanced Email and click on it to open.

Step-2: Now, check if the Enhanced Email feature is enabled or not; if it is not enabled, click on the Enable button to enable it.

Step-3: Click on the Object Manager tab at the Nav Bar of the setup page, and from the list of objects, choose the Object on which you want to add the Send List Email button and click on it.
For example, the Lead object I selected.

Step-4: From the left-side menu, click on the List View Button Layout option.
On the List View Button Layout page, click on the drop-down icon (⬇️) corresponding to the List View option. And then click on the Edit option.

Step-5: On this page, under Standard Buttons, check if the Send List Email option is enabled. If this option is not enabled, Tick Mark (✔️) this option and click on the Save button.

Now, if you open the List View page for the Lead object, you can see the missing Send Lest Email button is now visible.

In this way, you can add the send list view button in Salesforce Lightning.
How to Enable Send List Email in Salesforce
Sometimes, the case arises when the users of your organization can see the Send List Email button but can’t send the list email or are not able to view the list emails object in Salesforce.
This means that these users of your org don’t have the necessary permissions to send list emails. To enable sending list emails in Salesforce, follow the below steps.
Step-1: Navigate to the Setup, search for Permission Sets in Quick Find, and click on it.

Step-2: Create new permission sets by clicking on New or selecting any one permission set. Then, move to the System section and click on System Permissions.

Step-3: Click on the Edit button to edit the system permissions and select the Allow Sending of List Emails. After that, click on the Save button.

In this way, you can enable the send list email in Salesforce.
Send List Email From Report Salesforce
You can create a report to get an overview of data about the send list email. In the report, you will get the number of emails sent, number of clicks, click rates, total clicks, and total click rate.
Below are the steps to create a report of send list email in Salesforce.
Step-1: Go to the Setup, click on the App Launcher, search for Report Types, and click on it.
Then, click on the New Custom Report Type button to create a new custom report.

Step-2: Select the Primary Object as List Emails. After that, enter the name for the report in the Report Type Label, and the Report Name will be filled automatically.
Also, enter the Description, choose the Store in Category, and set development as Deployed. Then, click on the Next button.

Step-3: Select the List Email Sent Results as a Secondary Object and click on the Save button.

Step-4: Click on the App Launcher, search for Reports, and click on it. Then click on the New Report button.

Step-5: Choose the Category as Other Reports, select the Report Type as List Emails Report, and click on the Start Report button.

Step-6: Select the relevant columns from the Add Column Section that you want to include in the report and then click on the Save & Run button.

In this way, you can create a report in Salesforce that contains the overview of the list email.
