What are the Opportunity Stages in Salesforce

In Salesforce Opportunity Stages are Picklist fields with values. These stages are considered steps that are taken by the user to define the current status of the sale of a product or service. Salesforce has default Opportunity Stages that are built-in and fulfill the requirements in opportunity stages and there are 9 such values which are as follows.

  • Prospecting
  • Qualification
  • Needs Analysis
  • Value Proposition
  • Id. Decision Makers
  • Perception Analysis
  • Proposal/ Price Quote
  • Negotiation/Review
  • Closed

Let’s understand with the help of an example for better understanding why it is required to add Values to the Opportunity Stage Picklist in Salesforce.

Techlead is an IT consulting organization that uses Salesforce as its CRM tool to manage leads, opportunities, and customer relationships. When the company expanded its services the existing Opportunity Stage picklists in Salesforce were not enough for the stages in their sales processes. They need to add new values to the Opportunity Stage picklist to better align with their sales processes.

I was asked to add values to the Opportunity Stage Picklist and also assign these values in the sales process of Opportunity. In the below steps, I will show you how I handled this situation and solved this issue.

To add values to the Opportunity Stage Picklist in Salesforce Lightning, first log in to your Salesforce developer account and follow the steps below.

Step-1: On the Setup page of Salesforce Lightning, click on the Object Manager tab that is at the top of the screen.

Step-2: In the Object Manager we can see a list of Objects and from this list select the object Opportunity. We can search this object from the search bar or by scrolling down the list.

Step-3: In the Opportunity object setup, go to the details section in the left sidebar and click on Fields and Relationships.

Step-4: In the Fields and Relationships, there is a list of multiple items. Now scroll done in this list and in the end of the list select the item Stages.

Step-5: In the Opportunity field Stage, go to the section Opportunity Stages Picklist Values there is a list of Staging Values in this section and to create a new Opportunity Stage Value click on the New button in the Opportunity Stages Picklist values section.

Step-6: In this step, we will fill in the details in the required fields to set up a new stage value. In the Stage Name field enter the name of the custom stage. In this case, I have named it as Develop Proposal, and in the Type field select the option Open. In the Probability field, we have to set the probability percentage for the new opportunity stage. After making these changes click on the Save button.

As we click on the Save button, the Opportunity Stage value will be created and we can see the newly created stage value Develop proposal is added in the section Opportunity Stages Picklist Values.

Now we have successfully created an Opportunity Stage Picklist Value in Salesforce Lighting.

Configure the Sales Process with Opportunity Stage Picklist Value in lightning

To configure the Sales Process with the created Opportunity Stage Picklist Value, go to the Setup page of Salesforce Lightning and follow the steps below.

Step-1: On the Setup page go to the Quick Find box search for the Sales Processes and from the options in the dropdown click on Sales Processes.

Step-2: In the Sales Processes we have to select the sales process in which you have to configure the Opportunity Stage Picklist Value which we have created above. In case, you haven’t created a Sales Process earlier then click on the New button to create a new sales process.

Step-3: In this step, we will enter the values in the required fields to create a New Sales Process. In the Existing Sales Process select Master and in the next field Sales Process Name enter the name of the sales process. In this case, I have named it Opportunity Process and then after writing the description click on the Save button.

Step-4: In this step, we can see two columns Available Values and Selected Values. Here remove the existing values from the selected values column using the remove arrow button “Add” and keep the Opportunity process values that we have created and then click on the Save button.

As we click on the save the new sales process Opportunity process will be created with the selected value and we can see the created sales process in in the Sales Processes window.

Till we have configured the Opportunity stage picklist value to a Sales Process.

Step-5: To check these Opportunity stage picklist values configured in Sales processes, go to the Opportunity tab in the Sales application, and in the Stage column click on the pencil icon as shown in the picture below.

Step-6: As we click on the pencil icon a dropdown will open and here we can see a picklist of Opportunity stages with added value Develop Proposal.

Now we have successfully assigned the added value of the opportunity stage to a sales process.

To add Values to the Opportunity Stage Picklist in Salesforce Classic, switch to the Salesforce Classic version and follow the steps below.

Step-1: On the Home page of Salesforce Classic, click on the setup tab on the upper right of the screen.

Step-2: On the Setup page of Salesforce Classic, go to the Build section in the left sidebar click on the Customize dropdown then click on the object Opportunities. In the dropdown of the opportunities click on Fields.

Step-3: In the Opportunity Fields select the Stage field from the Field Label column.

Step-4: In the Opportunity Field Stage window, go to the Opportunity Stages Picklist Values section and click on the New button to create a new opportunity stage value.

Step-5: In this step, we will create a new Opportunity stage value by entering the required fields. In the Stage Name field enter the name of the stage value. In this case, I have entered the name as Client Presentation. In the Description field add the description of the stage name field.

In the Probability field enter the percentage probability of the stage value. In this case, I have set the probability percentage to 75, and after making these changes, click on the Save button.

As we click on the Save button, a new Opportunity Stage Picklist Value will be created and we can see the newly created value Client Presentation in the list of Opportunity Stages picklist values.

Now we have successfully a new Opportunity Stage Picklist Value in Salesforce Classic.

Configure the Sales Process with Opportunity Stage Picklist Value in Classic

To configure the Sales Process with Opportunity Stage Picklist Value in Classic, go to the Setup page of Salesforce Classic and follow the steps below.

Step-1: On the Setup page of Salesforce Classic, search Sales Processes in the Quick Find, and from the options in the dropdown select Sales Processes.

Step-2: In the Sales Processes window, select the sales process Opportunity Process and if you haven’t created a sales process for opportunity then click on the New button to create one.

Step-3: In this step, we have to select a stage from the Available Values list and add it to the Selected Values list to include it in the process. We will select the created stage value Client Presentation from Available Values and add it to the Selected Values section with the help of the Add arrow button and the last click on the Save button to apply changes.

As we click on the Save button the Opportunity Stage Picklist Value Client Presentation will be added to the Sales Process. To check whether we have assigned the Opportunity value to the Sales Process is added to the Sales process or not, follow the steps below.

Step-4: On the Home page of Salesforce Classic, go to the Opportunities tab and in the Opportunities tab select any opportunity from the list of opportunities. In this example, I have selected the opportunity Elektron technologies.

Step-5: In the selected Opportunity, go to the section Opportunity Detail and click on the Edit button.

Step-6: In the edit window of the Opportunity, click on the dropdown of the Stage field, and in the dropdown, we can see the added Opportunity Stage value Client Presentation as shown in the picture below.

Now we have successfully assigned the added value of the opportunity stage to a sales process in Salesforce Classic.

Conclusion
