How to Assign Permission Sets to Users in Salesforce

In this Salesforce tutorial, we will learn to Assign Permission Sets to Users in Salesforce. We will discuss the two possible ways by which we can assign permission sets to users in Salesforce Lightning and Salesforce Classic editions.

Assigning Permission Sets in Salesforce

In Salesforce, Permission sets are a feature that allows us to grant additional permissions and access rights to users beyond their profile settings.  We can assign multiple users to a permission-set license together.

On each permission set license detail page, We can select multiple users to complete bulk assignment operations but we should make sure to select an active user, and also the permission set license should have remaining licenses.

On successful assignment of permission sets, the user will have additional permissions and access rights granted by the assigned Permission Set in addition to their existing profile permissions.

There are two ways to assign permission sets to users. The first one is assigning permission sets from the User setup and the other way is to assign permission sets from the Company Information setup.

To Assign Permission Sets from User Setup in Salesforce Lightning, navigate to the setup page of Salesforce Lightning and follow the below steps.

1. On the Setup page of Lightning, go to the Quick Find box on the left-hand side and search then select Users.

2. In the Users setup window, select an active user to which you have to assign permission sets. In this example, I have selected the user Ashley Rebelo who also has a system admin license.

3. In the user profile setup, scroll down and in the section Permission Set Assignments click on the button Edit Assignments.

4. In the Permission Assignments, select a permission set from the column Available Permission Set and then press the right arrow key to enable that permission set.

After adding the Permission set in the column Enabled Permission Sets click on the Save button.

As we click on the Save button, the user will be assigned with selected permission set. In the User details section of the user’s profile, we can see the enabled permission set as shown in the picture below.

Now we have successfully assigned a permission set to a user in Salesforce Lightning with the help of the above steps.

Assign Permission Sets from the Company setup in Salesforce Lightning

Assigning a Permission Set to a User can also be done from the Company information setup and for that, navigate to the Setup page of Salesforce Lightning and follow the below steps.

1. On the Setup page of Salesforce Lightning, go to the Quick Find box and search then select Company Information.

2. In the Company Information page, go to the section Permission Set Licenses and select the permission set license from the list.

In this example, I have selected the license CRM User. Make sure to not select the Permission Set License that does not have any remaining license.

3. In the selected permission set window, click on the button Assign Users.

4. As we click on Assign Users, the user setup window will open where we can see the users in the organization. Here, select the user to assign a license of the permission set that you have selected above and click on the Assign button.

Make sure to select an active user. In this example, I have selected the user Andrew Smith who is a Standard Platform User.

5. As we click on the Assign button, In the next window we can see a success message of permission set license assigned to the user. Now, click on the Done button to approve changes.

As we click on the Done button, the permission set license will be assigned to the selected user, and in the setup of the assigned permission set, we can view the user as shown in the below picture.

In this way, we have successfully assigned a Permission Set License to a user in Salesforce Lightning with the company information setup.

Assign Permission Sets to Users in Salesforce Classic

In Salesforce Classic, there are two ways to assign a Permission Sets License to users. We can assign a Permission Set from the User profile setup and the same thing we can do from the Company Profile Setup. We will discuss both ways to assign a permission set to a user.

To Assign Permission Sets from User setup in Salesforce Classic, first log in and switch to the Salesforce Classic edition, then follow the steps below.

1. On the Home page of Salesforce Classic, click on the Setup tab that is on the upper left side of the screen.

2. On the Setup page of Salesforce Classic, go to the Quick Find box and search users then under the heading Manage Users select Users.

3. In the User setup window, select a user to whom to have to assign a permission set license.

4. In the setup of the user’s profile, scroll down and go to the section Permission Set Assignments then click on the button Edit Assignments.

5. In the Edit Assignment window, select the permission set from the column Available Permission Sets and then click on the right arrow Add button to enable the selected permission set and then click on the Save button.

As we click on the Save button, the Permission Set license will be assigned to the selected user. We can view the assigned permission set license in the Permission Set Assignments section.

In this way, we have successfully assigned a Permission Set license to the user from the User setup in Salesforce Classic.

To Assign Permission Sets to users from the company information setup, login and switch to the Salesforce Classic edition, and then follow the below steps.

1. On the Home page of Salesforce Classic, click on the Setup tab, which is on the upper right side of the screen.

2. In the Setup of Salesforce Classic, go to the Quick Find box and search then select Company Information.

3. In the Company Information setup, scroll down and go to the section Permission Set Licenses and here we can see the list of Permission sets. To view all Permission sets click on Go to List.

4. Now we can view all the available Permission Set Licenses in the organization and here select a permission-set license from the list.

5. In the setup window of the selected Permission Set License, click on the button Assign Users.

6. As we click on the Assign Users button, the User setup window will open. Now select an active user from the list and click on the Assign button.

7. On successful assignment of Permission to set license to the user, we can the success message on the screen. Now click on the Done button to approve changes.

Now the user is successfully assigned to the Permission set license that we have selected in the above.

We can also view the assigned user in the setup of the Permission set license as shown in the picture below.
