  • If the user selects “filter by scope”, then the results of the list view are further filtered by the scoping rule’s record criteria.
  • After the creation, we can use it in the list view. It helps after applying filter by scope; we will get only records of which criteria have been applied on that object.
  • It also helps the users narrow down our data and makes it more straightforward to analyze data. It makes our task easier.

Filter by Scope Criteria

There are two types of criteria to filter up the records.

  1. User Criteria – Here, we need to define which user records we want to display. In this, we can add criteria to the users like which users are active, which users should be in the same time zone, and display those users’ records only.
  2. Record Criteria – Here, we can add criteria based on the field, and we can apply filters on standard or custom fields. Based on this criteria we can decide which records we want to filter up.

Using the following scenario we will see step-by-step how to apply filter by scope on the list view.

Scenario 1

When we want to display only those records where the users who work in some specific time zone and the opportunity object record opportunity stage would be Closed-Won then we can use Filter by scope.

1. Click on “App Launcher” -> Search the Object on which you have created the Scoping Rule. Here, I have created a Scoping Rule on the “Opportunities” object. -> Click on “Opportunities“.

2. This is All Opportunities is displayed before applying the Filter by Scope. Here, you can see all Stage is displayed.

3. Now, we need to apply the Filter by Scope view.

  • Step 1: Click on the Filter icon.
  • Step 2: Click on the Add Filter option to add the filter.
  • Step 3: Select the Filter by scope option. -> Click on the Done button.

4. Now, you can see the result after applying the Filter by scope. Only those records are displayed whose stage name is Closed Won.

Scenario 2

Display only active user records, and on the account object, the account rating should be hot. In this scenario, we will use the scoping rule and filter by scope.

1. Go to “App Launcher” -> Search for an object that you want to filter records -> Here, I want an Account object.

2. You can see All Accounts are displayed before applying the Filter by Scope. Here, we can see only one account owner’s records, and different rating is displayed.

3. Now, we need to apply the Filter by Scope view and want to display all active user records with a rating equal to Hot.

  • Step 1: Click on the Filter icon.
  • Step 2: Click on the Add Filter option to add the filter.
  • Step 3: Select the Filter by scope option. -> Click on the Done button.

4. Here, we can see the user who Activated in Org with an Account Rating equal to Hot. All records are displayed.
